ROLE:

Under direct supervision of the Chief Financial Officer/Vice President of Finance and Administration, the Convening Center Event Coordinator works as event lead for meetings and events to be held in the convening center by the planning and execution process. The Convening Center Event Coordinator coordinates all activities related to outside groups holding meetings and events on MFH property, including marketing, relationships and on-site support. Assist staff with other meetings and functions.

RESPONSIBILITIES:

  • Collaborate with Strategic Communications staff to raise awareness of the convening space with target audiences and maximize mission-aligned events in the space. Provide data and analysis about use of the convening center and maintain necessary historical files for future reference
  • Review event requests and make determination of fit based on MFH convening center strategy
  • Coordinate with all parties necessary for successful events including, but not limited to, IT Manager, Facilities Manager, Receptionist, caterers and other providers to ensure an excellent event experience. Maintain calendar of events and ensure that all relevant parties are informed of events scheduled, use of the space is effective and all guest needs are accommodated
  • Ensure room setup is appropriate. Provide light refreshments (coffee, water, snacks) for events as appropriate. Maintain cleanliness and order in the convening center and all meeting/public spaces for the comfort of guests. Be onsite and available during meetings or ensure that guests have another contact if unable to be onsite
  • Undertake appropriate post-event follow up. Seek feedback from guests and incorporate feedback into future planning. Share information with other staff and partners as appropriate to ensure continuous improvement in guest satisfaction
  • Collaborate with Community Events Coordinator as needed to ensure other Foundation meetings (Board, CAC, committee, and off-site meetings) are well executed  Participate, as assigned, on Foundation teams. Perform general Foundation support activities and carry out special projects as required. Adhere to the Foundation’s mission and core values

Qualifications and Education Requirements

  • High school diploma and a minimum of three years of relevant experience or a bachelor’s degree in an appropriate field
  • Proficient in Microsoft Office Suite and basic database management
  • Must be willing to accommodate flexible schedule and travel up to 10 percent of time
  • Ability to generate reports and business correspondence
  • Ability to provide timely, respectful, and thorough customer service to internal and external clients
  • Ability to be detail oriented and perform administrative and clerical duties with speed and accuracy without immediate and constant supervision
  • Ability to maintain a good working relationship with Foundation staff and the general public and to use good judgment in recognizing scope of authority
  • Self-starter with strong organizational, interpersonal, and communication skills and willing to perform a variety of tasks
  • Must present a professional business manner and appearance
